Privacy Notice for Practice and Website

This statement confirms how I Malai Sontheimer, Therapeutic Counselling and Traditional Acupuncture, Website:  www.xspecial.co.uk use and protect any information that you give to me whilst using my service.

I am committed to safeguarding and protecting your information. If I ask you for any information then it will only be used according to this privacy statement.

Your Data

Information I collect: I store your name, telephone number, address and email address and other personal information that you provide to me. I will also write either brief notes of your counselling sessions or acupuncture treatments.

How I store information: I keep paper notes, recording either the themes of our counselling sessions or acupuncture treatments accordingly. These are securely stored in a locked filing cabinet. For insurance purposes they have to be kept (securely locked) for 7 years after your sessions or treatments end, when they will be destroyed. Your paper contact and appointment details will also be kept for 7 years and then destroyed unless otherwise agreed.  Any information stored online will be kept securely on a password protected computer. Any emails, texts, what’s app or other will be deleted at any time but not later than 3 months after receipt unless they form part of your notes or are needed for income tax purposes in which case they will be stored for 7 years as above. Your phone number will be stored on my mobile phone either under your first name, initials or just as a number until our work together ends at which point it will be deleted. If I change my phone then your details will be deleted on the old phone. The appointments of clients who I see at the Family Practice, 116 Gloucester Road are stored on their computer diary either under your first name or your initials. Names and phone numbers of current clients are kept in my locked filing cabinet. In the event of me being unable to work and unable to contact you myself your contact details would be shared with my professional executor in line with good practice in the profession. They would then contact you to cancel appointments and offer advice or recommendations.  

How I use this information: I will use your contact details to engage in my work with you including contacting you about appointments, keeping records and running and maintaining my business. I keep written notes in order to support me in my work with you. I will not use the above information for any other purposes than stated in this notice. If in the unlikely event that I am obliged to share information by a court of law I would always inform you first.

Your rights:  You have the right to ask to see any information that I hold about you. You also have the right to ask me to change any information that is incorrect or delete any information that I hold about you. I will do this except for any information that I need to hold for legal reasons such as my business tax purposes.

Complaints: If you wish to complain about how I hold your data in any way then in the first instance please contact me Malai Sontheimer who is the data controller of my business. If you have any further concerns which are not addressed you should contact the Commissioner’s Office at 03031231113

Breaches: I will report any data breach to the Information Commissioner, to BACP, BAcC, and to you within 72 hours if it becomes apparent that any data is stolen.
